We are seeking an experienced and highly organised Team Assistant/Office Manager to oversee the day-to-day operations of our office. The successful candidate will play a crucial role in ensuring the smooth running of our practice, supporting the practice manager, legal team, and enhancing our office culture.
Key Responsibilities
Office Administration:
- Manage the daily operations of the office, including facilities, equipment, and supplies.
- Manage office archiving and document management
- Ensure the office environment is professional, efficient, and compliant with health and safety/fire standards.
- Handle vendor contracts, including office supplies, cleaning services, and technology providers.
Team Support:
- Provide administrative support to legal and support teams, ensuring deadlines and priorities are met.
- Support the Practice Manager when required.
- Coordinate and schedule meetings, including client appointments, internal discussions, and team events.
- Assist the Practice Manager with marketing and events.
IT support
- Liaising with employees to provide support on all aspects of technology and phones
- Troubleshooting and assisting with day-to-day IT/desktop and mobile phones as and when they arise liaising with our outsourced support to reach successful solutions
- Working with IT support to set up new joiners with PC/mobile phones/tablets – updating existing models
- Leavers processing – return of equipment
- Managing ad hoc IT projects with our IT providers
Finance & Compliance:
- Oversee office budgets and liaise with the accounts department.
- Assist with billing and client invoicing processes where required.
- Ensure compliance with legal and regulatory requirements, including data protection and confidentiality protocols.
Key Skills and Experience
Essential:
- Proven experience as a Team Assistant/Office Manager preferably in a law firm or professional services environment.
- Excellent organisational and multitasking skills with a keen eye for detail.
- Proficiency in Microsoft Office Suite.
- Strong communication and interpersonal skills, with the ability to interact effectively with colleagues, clients, and stakeholders.
- Understanding of data protection, confidentiality, and compliance requirements in a legal context.
Desirable:
- Experience in legal billing and financial administration.
- Knowledge of legal-specific software
- Familiarity with employee engagement initiatives.
